This privacy notice tells you what to expect when the UK Chapter of the User Experience Professionals Association (UXPA UK), registered as a Community Interest Company, collects personal information about you when you engage with us when we conduct our regular duties as the recognised professional body for UK UX practitioners. This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us.  Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

UXPA UK is committed to protecting your personal information when you use UXPA UK services. Whenever you provide such information it will only be used in line with all applicable data protection laws, including the General Data Protection Regulation (GDPR). Your information will be kept in a secure environment and access to it will be restricted according to the ‘need to know’ principle.

What information will UXPA UK collect about me?

Our general policy is to collect the minimum amount of information required from you to access our services. When you engage with us directly, generally UXPA UK will collect your:

  • Full name
  • Email address

Depending on your interaction with UXPA UK services, we may also collect:

  • Job Title
  • Institution/affiliation
  • The nominated email address of your PayPal account
  • IP address at time of interaction with UXPA UK service
  • Social media username (e.g.: Twitter Username)

If you attend or speak at one of our events, we may also collect:

  • Photographic, video and audio recordings of you.
  • Presentation materials.

When do UXPA UK collect information about me?

  • When you become a member of the UXPA UK Chapter. Additional information may be collected if you participate in our mentoring scheme
  • When you attend an event
  • When you take part in our surveys or online voting systems.
  • When you contact a ‘uxpa-uk.org’ email address
  • When you complete the Contact form on the UXPA UK website
  • When you engage with us on social media

How will UXPA UK use the information it collects about me?

UXPA UK will use your personal data for purposes including the following:

  • To manage your membership of UXPA UK.
  • To provide you with information on UXPA UK events and activities. We will only do this where you give us your clear consent to do so.
  • To respond to feedback, queries and complaints that you submit to a ‘uxpa-uk.org’ email address or through our website contact form.
  • To allow you to actively participate in surveys and polls.

The lawful justification for collecting and using your personal data is that it is necessary for us to collect this information to deliver our service to you (e.g.: become a member or UXPA UK or attend an event). Failure to provide mandatory data fields denoted by a ‘*’ will mean that we will not be able to guarantee access to our service.

The lawful justification for sending marketing communications about UXPA UK products and services to you is that you have given clear consent for your personal data to be used for this specific purpose by becoming a member of UXP AUK or signing up to our mailing list. You are always in control of your data. You can unsubscribe from UXPA UK marketing communications by clicking ‘Unsubscribe’ on the footer of a UXPA UK marketing email.

How long will UXPA UK keep my information?

  • Details related to UXPA UK Chapter membership will be retained for a period of 1 year after your membership elapses.
  • Details related to Event Attendance will be retained to maintain historical attendance records as long as they are in accordance with our third-party event management tools privacy policy.
  • Details related to presentation at a UXPA UK event will be retained to maintain an historical record of the event unless we receive a request for these to be removed.
  • If you contact us to a ‘uxpa-uk.org’ email address we will retain details of the conversation unless we receive a request for these details to be removed.
  • Details related to interaction with UXPA UK social media channels will retained as long as they are in accordance with our third-party social media tools privacy policy.
  • Details related to participation in the UXPA UK committee election process will be deleted no longer than 90 days after the voting process has been completed.
  • Details related to participation in UXPA UK surveys will be retained to maintain an historical record to allow us to improve our services.  

What rights do I have over my personal data?

You have a number of rights relating to your personal information and what happens to it. You are entitled to:

  • Access your personal data by making a subject access request
  • Require us to correct any mistakes in your personal data or request that we delete personal data concerning you in certain situations where there is no good reason for us to continue to process it
  • Have your data processed in a fair, lawful and transparent way
  • Be informed about how your personal data is being used, an example being this privacy policy
  • Request that we transfer your personal data to you or another service provider
  • Object at any time to processing of your personal data where justified

Disclosure to third-parties

We use several third-party processors to deliver our services and communications to you. UXPA UK doesn’t own or control these third parties and when you interact with them, you may be providing information directly to the third party, UXPA UK, or both. These third parties will have their own rules about the collection, use, and disclosure of information. We encourage you to review the privacy policies of the other service providers you use to engage with our services.

Website Privacy and Cookies

Cookies are small text files that are stored on your computer when you visit certain websites. The only cookies in use on the UXPA UK site are for ‘Google Analytics’, a web analytics tool which helps us understand how visitors engage with the site. Cookies contain information that is transferred to your computer’s hard drive. They store information, such as the time that the current visit occurred, whether the visitor has been to the site before and what site referred the visitor to the site. ‘Google Analytics’ anonymously collects information. It reports website trends without identifying individual visitors. You can opt out of ‘Google Analytics’ without affecting how you visit our site by visiting Analytics opt-out.

The UK User Experience Professionals’ Association is committed to the secure handling of member and user data. The following describes our policy on information gathering, storage and dissemination of information on:

Use of IP Address and Cookies

Your IP address is only used to identify you when you take part in any survey process. ‘Survey’ refers to both surveys and election processes for which we use a surveying tool. This is in order to prevent multiple survey responses. Once responses have been audited for duplication, any IP information is discarded before counting takes place.

As we do not offer any login or purchase services on the website, cookies are not used for any purpose with regards to the website.

IP addresses are logged with our hosting provider for site visits.

Personal Information

  • UXPA UK does not rent, sell, or give away any contact details for any individual in any circumstance without the expressed permission of the individual in question.
  • The UXPA International membership forms require members to give UXPA International contact information (such as name and email address). This information is shared by the Global UXPA Office with the UXPA UK Secretary and Committee in order to validate membership for event entry, election voting eligibility and in order to keep the UXPA UK email list up to date with current members. No financial information about members is shared with UXPA UK (such as membership payment details)
  • Our online surveys ask participants for contact information (such as email address) and demographic information (such as location, age, or income level). Personal information from surveys will not be shared with anyone outside the committee. Contact information from a survey will only be used to answer direct questions or to respond to complaints. Most surveys are anonymous, and contact information is only required for election voting.

This site contains links to other sites. The UK User Experience Professionals’ Association is not responsible for the privacy practices or the content of such Web sites.

Security

This site has security measures in place to protect the loss, misuse and alteration of the information under our control. Site hosting is provided by 123-reg.co.uk, part of the Webfusion Ltd.

Surveys are managed using https://www.surveymonkey.com/ with access to the UXPA UK account limited to the committee President and Secretary.

Email and membership lists are stored using Mailchimp and are accessed by UXPA UK Committee Members only.

Email communication opt in/out

Our email communication list is comprised of:

  • Current members
  • Past members
  • Subscribers
  • Others who have agreed to be added

You can unsubscribe from emails when you receive one. Alternatively please contact the UXPA UK Secretary.

Twitter

The UXPA UK has a Twitter feed at http://twitter.com/ukupa – the feed’s ‘followees’ are UX-related organisations, as well as those individual followers who do not appear to be spammers. Following UXPA UK on Twitter does not automatically result in being followed by UXPA UK.
